Proof-of-delivery documents get rejected or delay payment for a handful of recurring reasons: missing or illegible signatures, missing date/time stamps, photos that are too dark or cropped to read, a POD that doesn’t match the rate confirmation’s load or reference number, missing piece/pallet counts on partial deliveries, and unnoted damage or shortage that later becomes a claim.
A simple habit that prevents most rejections: before leaving a delivery, check that the signature is legible, the date is correct, the load/reference number is visible or attached, and any exceptions (damage, shortages, refusals) are written directly on the POD, not just reported verbally afterward.
Submitting POD images promptly and in good lighting also reduces back-and-forth requests for a resend.
